Create and Edit Workflows

What is the Workflow Configuration Tab?

Now that you have turned on workflows and have enabled them for your role, you can begin automating tasks that you have previously been doing manually, like approving documents, sending eNotifications, and updating your own data as changes occur. The Configuration tab in the ‘New…’ or ‘Manage Workflow’ page is where you will define the settings of each workflow.

 

Create a new workflow

Step 1: Hover over the Configuration Icon from anywhere in your enterprise site.

Step 2: Select ‘Workflows’ from the drop-down.

Step 3: To edit an existing Workflow, click the edit icon at the left end of the appropriate grid-row to go to a "Manage Workflow" page.

Step 4: Click ‘New’ to start from scratch.

Step 5: Input the appropriate information into the fields following the guide below.

The following configuration information applies to a New Workflow AND to editing an existing Workflow. A "New Workflow" window will look like this:

Anatomy of workflow fields

  • Workflow Name - Provide a Name for the Workflow.
  • Use - This will determine where the Workflow will apply. For instance, if you are building a Workflow on your Items Supplied tab, select "Items Supplied" from the drop-down.
  • Workflow Trigger - This will determine when the Workflow will run. In other words, what occurrence(s) are needed to start this Workflow?
  • Execute Order - If you have more than one Workflow per event (e.g., two separate Workflows with Use = Items Supplied, both triggered On Record Updated), you may specify an order in which they will run. Lower numbers will run first.
  • Description - Provide a brief description of the Workflow.
  • Workflow Active - Toggle to Activate or Deactivate a Workflow.
  • System Workflow - Labels a Workflow as a special System Workflow.

A "Manage Workflow" window for an existing Workflow follows the same fields but contains creation data.
