Configuration Workbook Basics

Overview

A Configuration Workbook is a spreadsheet used to import and update data in TraceGains. It is the primary method for loading large amounts of data during initial implementation and for making bulk updates later.

Each workbook is structured to ensure data is organized correctly for import into the system.

Access the Configuration Workbook

Configuration Workbooks vary by product, so it is important to ensure you are using the correct version before beginning.

If you are unsure which workbook to use, contact your CSM for guidance. Otherwise, the workbook can be downloaded directly from your TraceGains site.

How to Access

Step 1: Click or hover over the Configuration Icon.

Step 2: Click Config Workbooks.

If you do not have this option, it will need to be updated under Config>Roles. Contact your System Administrator for further assistance.

Workbook Structure & Navigation

Each Configuration Workbook contains multiple tabs designed to separate different types of data for import.

Tab Layout Example (SM/SC Workbook)

Most workbooks, such as the SM/SC version, include multiple tabs including:

  • Overview tab (explains workbook structure before you begin)
  • Data-specific tabs (organized by function or data type)

Each tab is designed to:

  • Guide accurate data entry
  • Reduce configuration errors
  • Provide examples and formatting guidance where needed

Help Text & Data Entry Guidance

Many Configuration Workbooks include inline help text to guide data entry.

What to Look For

  • Red help text appears throughout the workbook
  • This text provides column-level instructions
  • It clarifies formatting rules and processing requirements

Best Practice

Always follow the embedded examples and help text when completing each tab. These are designed to reduce validation errors during import.

Validating Your Workbook

Before submitting your file, you should validate it to identify and correct errors.

How Validation Works

From the Config > Config Workbooks page:

  • Use the Validate function to check your file
  • Review any errors or warnings
  • Correct issues before submission

Important Note

You cannot submit the workbook directly. After validation and corrections, it must be sent to your CSM for processing.

Submission & Processing

Once your workbook is complete:

  1. Review all tabs for accuracy
  2. Run validation and fix any errors
  3. Submit the final file to your CSM

Processing Time

Uploads typically take:

  • ~2 weeks to 1 month depending on product complexity

To avoid delays, ensure your workbook is fully validated before submission.

Completion & Next Steps

After your workbook is successfully uploaded by the Customer Success team:

  • Your data will be available in TraceGains
  • You can begin managing and updating data directly in the system moving forward
