Why Delete Documents?
Whether you need to delete hundreds of outdated documents or replace one document with an updated version, there are two main options for removing documents in Supplier Management:
- Manually delete
- Bulk delete tool
This article details how to perform each method.
Manually Delete
Step 1: Navigate to the Supplier Management > Documents sub-tab.
Step 2: Filter the grid down to the document(s) you'd like to delete.
Step 3: Check the boxes to the left of the documents you'd like to delete. Checking the box at the top will select all documents on the page.
Step 4: Click the hamburger menu and click 'Delete Selected'.
Step 5: Confirm deletion.
Bulk Delete
When to use Bulk Delete
Over time, the number of documents in your site may accumulate and you might need to delete many at once. Expired documents may need to be kept for a period of time to meet audit needs, but at a certain point you won't need them anymore. To avoid overloading your site with documents you no longer need, it's best to delete them out. The Bulk Delete tool allows you to delete large sums rather than deleting them individually or by each page.
Steps
Step 1: Navigate to the Supplier Management > Documents sub-tab.
Step 2: Select your desired dashboard (UDD). For example, you may have a dashboard dedicated to expired documents.
Step 3: Filter the dashboard to group documents that should be deleted. For example, type a particular supplier’s name into the ‘Supplier Name’ field and click ‘Filter.’
Step 4: Once you have narrowed down the appropriate documents to delete, click the blue hamburger menu.
Step 5: Click ‘Bulk Delete.’
Step 6: Read the disclaimer to confirm your selection.
Step 7: Toggle ‘Run Workflows’ if desired. Consider toggling to ‘off’ when deleting hundreds of documents that would cause potentially unnecessary notifications to trigger.
Step 8: Click ‘Delete All’ to complete the process.
