Managing & Editing Supplier Records

What is the Suppliers tab?

The Suppliers tab is a grid view of your suppliers, including how many items you purchase from them, percentage of documents received, and any contact information. However, if you need to edit information for a supplier, you'll need to understand the two main areas where changes can be made.

Grid-View Editing

The Suppliers tab contains a grid-view of your suppliers and their information. Supplier information you can edit from here includes:

Adding a New Supplier

  • Create Supplier – Manually add a supplier by entering information, since they are not on TG Network.
  • Create Supplier from TraceGains Gather® – Add an existing supplier by finding them on TraceGains Gather® and sending a connection request to them.

Activating / Deactivating a Supplier

  • Deactivating a supplier, for example one that is no longer providing you with a product, is a very simple process. TraceGains recommends deactivating suppliers instead of deleting them so that you still have access to their documentation, in case you ever need it.

Steps:

Step 1: Select the supplier you want to deactivate by putting a checkmark in the box at the left end of the supplier's row.

Step 2: From the blue hamburger menu, select Deactivate.

Step 3: Click Yes in the pink confirmation box at the top of the screen.

Note: If you need to view any deactivated supplier's information, check the Show Inactive box next to the UDD menu at top-left, and this will show any/all Inactive supplier-rows.

TraceStation Editing

Click the edit Icon at the left end of your supplier's grid-row to get to an expanded view of your supplier's information. This view is called a TraceStation. Unlike the grid view, this is the information for just one supplier. From here you can see more information for the supplier than you could in the grid view and you can edit many more fields.

  • Editing fields – Any field that is white is editable as necessary. Some common ones you may update are Supplier IDSupplier NameGroup, and contact information. If the field is grey, that means you cannot edit its contents. If you have concerns regarding greyed-out fields, contact your CSM or TraceGains Support.
  • Hamburger Menu – As on the grid view, you have a hamburger menu. Here you can add items to this supplier, Deactivate the supplier, and attach Supplier Level documents to the supplier.
