Navigation in Supplier Management

Summary

Supplier Management has three primary tabs:

  • Suppliers
  • Items Supplied
  • Documents

 

The Suppliers Tab

On the Suppliers tab you’ll find all the information related to your supplier companies. This includes how many items you purchase from them, percentage of documents received, contact information, and much more. All data is arranged in a grid of columns and rows with the ability to sort and filter.

 

Items Supplied Tab

The Items Supplied tab displays a list of your items and who supplies them. This list will generally be larger than what you have on your Suppliers tab, as this is every combination of item & supplier you have. 

 

Navigating the Suppliers and Items Supplied Tabs

Both tabs contain a blue hamburger menu that allows you to edit records, activate or deactivate suppliers & items, work with audit trails, and gives you the ability to send an eBlast (a multiple- or mass-emailing).

  • Audit Trail– This is a record of every change that has happened to a record. View this to see what has changed on that record in the past, who made the change and when, etc.
  • Activate/Deactivate– Use this to deactivate Suppliers or Items you’re no longer using, or to activate ones that have previously been deactivated.
  • Email Blast– Send an eBlast to a specific Supplier or to multiple Suppliers regarding specific Items any time you wish.

If you need to review information on a particular row, click on the blue edit gear on the far left end of that row to go to what we call a "TraceStation". TraceStations allow you to see more information related to that record which may not be displayed in the row on the grid. At the very bottom of any TraceStation, you’ll find all the documents attached to that record.

Documents Tab

The Documents tab displays all your received documents. Instead of using the TraceStations on the Suppliers or Items Supplied pages to manage your documents, you can access them all here.

This tab includes every document in your site. Here you can add documents to your site as well as delete, download, or email them out. Eventually you will have MANY documents, so it will be important to understand how to sort and filter for ease of navigation. See "Filtering & Sorting Your Data" for details on sorting and filtering a grid.
