What is specification sharing?
TraceGains lets you share specifications with both internal and external stakeholders. For external sharing, the system creates an email attachment. Internally, you can share via email attachment or export the file to save it on your device
Why are there different types of sharing?
TraceGains has different sharing options because internal stakeholders often interact with a specification differently than external groups.
How to Share Specifications to Internal Stakeholders
Step 1: Navigate to an existing Primary Specification via the Specifications tab > edit icon .
Step 2: Click the Hamburger Menu and select Internal (Email/Export).
Step 3: Select a Specification Template (TraceStation) from the list of options, or manually select which sections using the check boxes, then click Next.
Step 4: Choose how you would like to share the specification
- By email: Send to a predetermined list of recipients via an Email Profile. You'll select the email profile on the 'Next' page.

Export: Download a PDF version.
- When this option is selected, the 'Next' button turns into a 'Download' button.
Step 5: Click Share or Download depending on your choices in step 4.
Step 6: Click Save.
How to Share Specifications to External Stakeholders
Step 1: Navigate to an existing Primary Specification via the Specifications tab > edit icon.
Step 2: Click the Hamburger Menu and select External (Email).
Step 3: Select the appropriate Email Profile.
Step 4: Select which supplier(s)/Recipient(s) to share the specification with.
Step 5: Determine whether suppliers can make changes to the specification by checking/unchecking the Read Only box.
Note: If Specifications have already been shared, this checkbox will be replaced by an arrow icon notifying you that "This spec has already been shared and this flag cannot be overridden".
Step 6: If this is your first time sharing this Spec, then you'll have the option to "Determine shared item editability"- where you can select which Items will be editable. Lastly, click Share.
