AI Template: Identification Values

When using AI Templates for COAs or other document types, one of the first steps is defining Identification values.

Identification values are used to match incoming documents to the correct records - such as supplier name, item code, item name - within your system. They are not used for data extraction, but rather for document recognition and routing.

By establishing reliable identification values, you help the system link each document to the right supplier or item, which improves automation accuracy and prevent mismatches.

Examples of Identification Values include:

  • Supplier Name
  • Item Code
  • Item Name

How to Configure AI Templates: Identification Values

Step 1: Click on the Configuration icon > Import Templates.

Step 2: Click New > AI Template.

Step 3: Enter the following:

  1. Use
  2. Document Type
  3. Supplier ID
  4. Item ID
  5. Template Name
    • Naming convention: Supplier ID_Item ID_Document Type
  6. Email From Address/Domain
    • Click the blue person + icon button

Step 4: Click Add Identification Values to enter ID values. Click Save once all values are entered in.

Setting the correct identification values helps ensure documents are matched to the right records.
