What are Email Templates?
Email Templates define the content of your emails, including the subject, body, and dynamic variables.
They provide a reusable structure that ensures consistent communication without recreating messages each time.
Start with The Message
Start by creating your Email Template—the foundation of your message and the first step in building your email notification.
STEP 1: Create an Email Template (The Message)
An Email Template is the reusable content of your email, including the subject, body, and attachments.
Step 1: Hover over Configuration > Email Templates.
Step 2: Click Add Email Template
- Choose:
- Configuration Library (prebuilt templates, if available)
- Create New
Step 3: Enter the following:
- Name – Internal name for the template
- Group – Categorizes the template for organization
- Subject – The email subject line suppliers will see
- Description (optional) – Internal notes about when to use this template
Step 4: Build the email body:
- Add your message content, including a greeting and any standard text
- Use Email Variables (e.g.,
##Supplier Name##) to automatically insert supplier-specific details - Add attachments if needed
What are Email Variables?
Email Variables are placeholders that automatically populate with data from your system when the email is sent.
Example: ##Supplier Name## will be replaced with the actual supplier’s name.

Step 5 Click Save.
