Customize Translation Packs Using Export and Import

Overview

The Configuration Export/Import feature allows you to customize configurable translations in TraceGains by exporting a translation spreadsheet, updating values, and re-importing it. This applies specifically to configuration-related content (e.g., attribute labels, value lists, tab names) — it is separate from the on-the-fly data translation that occurs on TraceStations.

Translation customization supports:

  • Exporting configuration translation data for one or more languages
  • Sending the spreadsheet for review and translation outside of TraceGains
  • Importing the updated spreadsheet to override default machine translations
  • Applying consistent, company-specific terminology across supported purchased languages

Where to Access

Navigate to Configuration > Languages.

Export Translation Files

Select one or more target languages (English is always the source language). The system generates a spreadsheet with one workbook tab per selected language.
Selecting all four available languages at once may cause slow response times or timeouts. It is recommended to export one or two languages at a time.
 
Each row in the spreadsheet includes:
  • Configuration Type – the type of configuration item (e.g., TraceStation Attribute, Value List)
  • Configuration Property – the specific property being translated
  • Base Language Text – the original English string
  • Existing Translation – the current machine-translated value (default)
  • New Translation – blank on export; enter your corrected translation here

Important: Only populate the New Translation column. Do not modify system identifiers, column structure, or the Base Language Text column. Files exported from one site/instance cannot be uploaded to a different site — they contain instance-specific identifiers.

Import Updated Translations

Once your translations are updated:
  1. Return to Configuration > Languages
  2. Click Browse and select your updated file
  3. Click Validate File to check for errors
  4. Click Submit Workbook to apply

After a successful import, the updated translations are reflected when the system is viewed in the selected language. You can verify by re-exporting the language and confirming the New Translation values appear correctly.

If the same English string appears multiple times in the export file, all instances must be updated — updating only some rows may result in inconsistent translations appearing in the UI.

Important Considerations

  • Configuration pages are only accessible while the site language is set to English. Navigating to configuration in another language will revert the interface to English automatically.
  • The Disable Language Translation flag is available on individual text-type attributes in Configuration > Attributes, allowing specific fields to be excluded from translation.
  • Translation corrections made via import apply to configuration content only (attribute labels, value lists, etc.). Translations of entered data on TraceStations are handled separately via the Translate Data button.
  • If a Tab View Attribute label override is later removed from the system, it will no longer appear in subsequent exports and may need to be cleaned up via a follow-up import.
