Overview
Manually updating records like Nonconformances (NCRs) after a Corrective Action Request (CAR) is closed can slow down your processes and increase the chance for oversight. Automating this task ensures consistency, accuracy, and time savings.
This article walks you through creating a workflow that automatically updates the status of a linked Nonconformance to “Closed” when a CAR is closed. Before you begin, make sure you’re familiar with How to Create a Basic Workflow and How Conditions and Actions work.
Access the Workflow Configuration Screen
To create the new workflow:
Step 1: Hover over the Configuration icon > click Workflows > click New.
Configure the Workflow Settings
Step 1: On the New Workflow page, configure the following:
- Workflow Name: Auto-Close NCR When CAR Closes
- Use: CAR
- Trigger: On Record Updated
- Execute Order: 1
- Description: optional
Step 2: Click Save.
Add Conditions and Actions
Step 1: Begin by clicking on the Workflow Steps tab.
Step 2: Under Conditions, replicate the following fields:
Resource | Operator | Value | And/Or | + x |
CAR Review Response Approval | = | Close CAR | And | + |
CAR Review Response Approval | Has changed |
Step 3: Proceed to Actions and replicate the following fields in the screenshot below:
Step 4: Once all fields are entered in for Actions, click Save.
Test Your Workflow
Once everything is configured in your workflow, it's ideal to test it.
Step 1: Create a text Correction Action Request linked to a Nonconformance. We recommend using a clearly labeled test item - such as "ZZ Test Item 123" - rather than selecting an existing live item, to avoid any confusion or data conflicts.
Step 2: Confirm that the linked Nonconformance automatically updates to Closed once the CAR is completed.
