An Email Profile is the final configuration that combines an Email Template and an Email Group to send an email. It brings together the message content and the intended recipients in one setup.
Think of it as the step that activates communication.
Activating Your Email Configuration
Email Profiles bring together your Email Template and Email Group to complete the setup and send communications to the right recipients.
STEP 3: Create an Email Profile (Put It All Together)
An Email Profile links your template and recipient group into a single, reusable option.
This is what you’ll actually select when sending emails or configuring workflows.
Step 1: Navigate to Email Profiles
Hover over the Configuration > Email Profiles. Select New.
Step 2: Select Required Fields
Fill in the required fields marked with a red asterisk.
Select the following:
- Email Template (the message content)
- Email Group (the recipients)
Step 3: Set Use
Determines where the profile is available (e.g., Workflows, Business Rules)
Step 4: Configure Delivery Settings
Set how and when the email is sent using Allow Notification:

Always
Sends the email immediately when triggered. -
Only during Midnight Business Rules
Holds the email and sends it during the system’s scheduled overnight processing cycle. -
Never during Midnight Business Rules
Prevents the email from being sent during the overnight processing cycle.
Step 5: Optional - Enable Allow eBlast
- Enable Allow eBlast if you want to send the email immediately
- This setting bypasses Midnight Business Rules delivery timing

Supplier Onboarding
Used to notify suppliers when you begin working with them or introduce them to the system -
Supplier Documents
Requests documents related to the supplier (e.g., audits, insurance)
→ Use in the Suppliers tab -
Item Documents
Requests documents related to specific items (e.g., ingredients, allergens)
→ Use in the Items Supplied tab
